Bar CodingBar Coding is becoming a more and more popular way to scan your documents and save them for viewing and searching. Bar Coding saves money when a data base has already been created by another data source application. Using recognition technology; BDS is able to automatically recognize and convert bar codes on the scanned images by attaching the text results or numbers to each document, making it a searchable index. Example: You want to have your employee files scanned and indexed by Name, Date of Hire, etc. Most companies have this information in a data base in a department somewhere. You send us the data base, we create a bar code for the employee, and presto you have the scanned images along with the information that was sent from your data base. No indexing required. If there is no data base, we can create a Bar Coding System in most formats.
Tiff vs. PDWhat format should I save my documents in? That's the most frequently asked question. Each file format is the industry standard for document imaging. Tiff images are just digital copies of your documents. Most Tiff features are driven by the document management software you must purchase.
Adobe PDF is a stand alone Document Management Program. PDF (with hidden text) gives you search capabilities on text, but also allows you to save the document in its original format without changing the image. Word and phrase search is the highlight of this format. Also, their indexing allows great flexibility on what you want indexed. The best thing, the viewer is free and comes standard on most systems. PDF viewer 6.0 has improved on the indexing and searching abilities. Acrobat 6.0 is a power document management software by itself. Most end-users will only need the 6.0 viewer which is free.
Data BaseAlmost all indexing information for your scanning requirements is kept in a data base. With this data base, indexing requirements are zero. The data has already been created. Creating the link between the data base and the image is all that is needed. If you require a lot of search indexes, look for a data base with the scanning you require.

What DPI Should I use for my documents? This really depends on what you are having scanned. For most text documents, 200 DPI works well. The downside to using 200 DPI is that it doesn't capture line art, tables and graphs as well as a higher DPI. On forms processing we scan images at 300 DPI. For PDF with hidden text my suggestion would be no lower than 240 DPI, for a better conversion rate.
